Background *
TheFinancial Sector Deepening Trust was established in 2005 with the objective ofincreasing access to financial services especially amongst low income groupsand small scale enterprises.
Workingin partnership with the financial services industry, the programme’s goal is tosignificantly expand access to services amongst lower income households andsmaller scale enterprises.
Underits recently commissioned strategy 2011-2015, FSD seeks to work with four themeareas namely, formal financial system, poverty impact, inclusive growth andknowledge generation.
Eachof the themes is headed by a theme lead with implementation support offered bya number of technical support staff. The strategy will see an increased numberof activities across theme areas and a marked increment in the number oftechnical support staff is envisaged. This necessitates additional staff totake on the administration and finance support functions of the four themeteams to enable the technical team focus on core functions.
- Objectives *
Theprogramme officer will support the theme leads and the technical team achievesmooth flow of operations by providing high quality and timely administrativesupport. He/She will be responsible for ensuring smooth flow of operationswithin the theme areas by providing efficient administration and logisticalsupport. - Roles and Responsibilities *
- I. Supporting the procurement process *
· Manage the procurement process for the assigned theme areas · With support from the finance function, make procurementestimates and raise payment authorisations · Source for quotations to during the procurement of goods andservices · Contribute to timely processing of payments by ensuring all thesupporting documents are handed to the finance function · Proactively make follow up with the finance function oncontracts and payments II. Logistical support and document management:
· Handle all logistical support for workshops and where necessarytake deliberations of the proceedings · Arrange meetings and diarise accordingly · Screen calls and direct as necessary · Handle local and international travel requirements, processadvance requests and travel claims · Ensure easy storage and retrieval of documents in logicalsequencing · Assist the team in handling presentations and formattingdocuments as requested III. Project cycle management
· Ensure timely receipt of quarterly reports by partners · In conjunction with the finance team, track projects expenditureto ensure that the project operates within the set budgets · Alert the team of impeding reviews and arrange progress fieldvisits to partner institutions · In consultation with the theme team distribute reports andpublications as necessary IV. Support for the Centre for Branchless Banking (CBB)
· Receive and record all incoming demands forinformation/documents, participation to events and visits · Organize events both internal and externally Requirements
· A first degree in relevant field with at least 3 years insimilar posts offering administrative support in a fast paced environment · Strong oral and written communication skills · Good knowledge of MS Office applications · Excellent communication skills (written and spoken) · Candidate must demonstrate strong organisational skills, abilityto prioritise and work with deadlines.
